Welcome to Bull Frog Cambodia. By booking a tour, renting equipment, or accessing our website at www.bullfrogcambodia.com, you agree to be bound by these Terms and Conditions. Please read them carefully prior to completing any reservation.

1. Booking & Payments

• Deposit: A non-refundable deposit of 20% of the total tour price is required at the time of booking to secure your reservation for multi-day tours. Day tours require payment in full at the time of booking.

• Balance Payment: The remaining balance must be paid at least 14 days prior to the tour start date, or upon arrival during the pre-tour orientation in Siem Reap or Phnom Penh (as agreed upon in your booking confirmation).

• Currency: All quotes, prices, and invoices are rendered in US Dollars (USD) unless explicitly stated otherwise.

• Accepted Payment Methods: Credit/debit card (Stripe/PayPal), ABA bank transfer, or cash (USD) for on-site payments. Any credit card transaction fees charged by payment processors are the responsibility of the client.

2. Cancellations & Refunds

A. Cancellations by the Client

All cancellations must be submitted in writing via email to info@bullfrogcambodia.com. Cancellation fees apply as follows based on when notice is received:

• More than 30 days prior to tour departure: Full refund minus non-refundable deposits and processing fees.

• 15 to 30 days prior to departure: 50% refund of the total tour price.

• 14 days or less prior to departure / No-show: 0% refund.

B. Cancellations by Bull Frog Cambodia

We reserve the right to cancel or modify a tour due to extreme weather, safety concerns, natural disasters, political instability, or unforeseen circumstances beyond our control. In the event that we cancel a tour:

• You will be offered an alternative date, a comparable alternative tour, or a full refund of all amounts paid directly to us.

• Bull Frog Cambodia is not liable for any indirect costs incurred by the participant, such as international airfare, visa fees, hotel bookings outside the tour, or travel insurance costs.

3. Physical Fitness, Health & Assumption of Risk

• Inherent Risks: Cycling and mountain biking carry inherent risks, including but not limited to physical exertion, terrain changes, vehicular traffic, changing weather conditions, and remote locations with limited medical facilities.

• Assumption of Risk: By participating in our tours, you voluntarily assume all risks, hazards, and potential injury or loss associated with cycling in urban and rural environments in Southeast Asia.

• Fitness Level: You are responsible for selecting a tour that matches your physical fitness and cycling proficiency. Our tour guides reserve the right to exclude any participant from a portion of a ride if their health, fitness, or riding skill poses a safety risk to themselves or the group.

• Helmets: Wearing a helmet is mandatory on all Bull Frog Cambodia cycling tours. Failure to wear an approved cycling helmet will result in immediate disqualification from the ride without a refund.

4. Equipment, Bike Rental & Care

• Equipment Setup: We provide properly maintained standard hybrid bikes, mountain bikes, or e-bikes as specified in your itinerary. Equipment is fitted to the height and specifications provided during booking.

• Participant Responsibility: You are responsible for inspecting the assigned bicycle prior to departure. During the rental or tour period, you are responsible for the proper care and basic safeguard of the bicycle.

• Damage or Loss: Reasonable wear-and-tear is expected. However, any deliberate damage, loss, or theft of bicycles and accessories caused by negligence or misuse will be billed to the client at full replacement value.

5. Travel Insurance & Passports

• Mandatory Insurance: All participants on multi-day tours must hold valid medical and travel insurance that covers adventure sports, bicycle touring, emergency medical evacuation, and repatriation.

• Passport & Visas: You are solely responsible for possessing a valid passport (with at least 6 months validity from your entry date into Cambodia, Vietnam, or Laos) and obtaining necessary tourist visas.

• Angkor Pass: For tours taking place within the Angkor Archaeological Park (Siem Reap), participants are responsible for purchasing their own Angkor Pass unless explicitly listed as included in the tour package description.

6. Itinerary Changes & Flexibility

Due to local road conditions, seasonal weather variations, or local government regulations, Bull Frog Cambodia reserves the right to make minor adjustments to tour routes, stops, or accommodations without prior notice. Our guides will ensure that any route adjustments maintain the quality and safety of the experience.

7. Media & Photo Release

During the tour, our guides or staff photographers may take photos or video footage of participants.

• Permitted Use: You grant Bull Frog Cambodia the right to use these images for promotional, website, and social media purposes without financial compensation.

• Opt-Out: If you do not wish to be photographed or filmed, you must inform us in writing prior to the start of the tour or notify your lead guide on Day 1.

8. Limitation of Liability

To the maximum extent permitted by applicable law, Bull Frog Cambodia, its owners, employees, contractors, and local partners shall not be liable for any direct, indirect, incidental, or consequential damages, personal injury, illness, death, property loss, or damage resulting from:

• Participation in cycling or touring activities.

• Acts of God, weather events, government actions, civil unrest, or force majeure events.

• Actions or omissions of third-party vendors (e.g., hotels, transport drivers, external boat captains).

9. Governing Law

These Terms & Conditions are governed by and construed in accordance with the laws of the Kingdom of Cambodia. Any disputes arising out of or in connection with these terms shall be subject to the jurisdiction of the competent courts of Cambodia.
